WriterConUK Event Charter

1. Purpose

The purpose of the WriterConUK event is to bring together those members of the WriterconUK on-line communities who wish to meet to further their interest in fandom related topics for a weekend each year.

WriterConUK encourages members from any fandom and from any aspect of fandom activity: writer, reader, beta, artist, vidder, etc. All are welcome, and all are encouraged to share their knowledge, and their views, for learning and entertainment.

Socialising is actively encouraged.

2. Membership


a.

Each year membership will be offered at a cost intended to cover the following:

i.

Room hire

ii.

Equipment hire (as necessary)

iii.

Refreshments (tea/coffee)

iv.

Goody bags

v.

Paypal fees


b.

Members have the right to vote at the AGM.


c.

Members can stand to be voted on to one of the positions on the Management Committee (see 3) when a vacancy occurs.


d.

Members can, and are encouraged to, offer support of the WriterConUK event in a variety of capacities. This assistance is not only greatly appreciated, but the event could not run without it.

3. Management Committee

a.

The Management Committee (MC) will consist of a triad, namely: Chair, Treasurer and Secretary. The purpose of the MC is to determine the following:

i.

Dates of the next WriterConUK event

ii.

Venue of the next WriterConUK event

iii.

Budget for the next WriterConUK event

iv.

The cost of membership for the next WriterConUK event

v.

Programme for the next WriterConUK event based on contributions from members.

b.

The needs of prospective members will be taken into account at all times with regard to dates, venue and cost to ensure the event is accessible to as many as possible.

c.

The MC will meet regularly via IM to ensure that all aspects of the WriterConUK event proceed smoothly, with particular regard to the budget.

d.

The Chair will be responsible for chairing IM meetings, ensuring that the MC carry out necessary tasks to the best of their ability, and that information is disseminated to members and prospective members.

e.

The Treasurer will be responsible for safeguarding and accounting for all monies deposited by members and the required outgoings for the WriterConUK event.

f.

The Secretary will be responsible for keeping records of all IM meetings, producing the Agenda for the AGM and the Minutes. In addition, the Secretary will be responsible for inviting potential speakers and discussing possible subjects with the MC.

g.

The MC will take on additional tasks as necessary, or approach members for assistance.

h.

A balance of no more than £150 may be carried forward from one WriterConUK event to the next. Any greater amount, if applicable, would require the express approval of members at the AGM.

i.

Any member of the MC wishing to stand down on completion of the WriterConUK event will give no less than 30 days notice prior to the event, posted on the WriterConUK Livejournal. Nominations will be invited to fill the vacant position and be put forward for voting at the AGM.

j.

Any member may nominate or second themselves or any other member for election to the MC, each member having the right to refuse nomination.
